Who it’s for

Kaolin is for businesses where a client books time with a therapist: day spas, massage therapists, wellness centres and beauty salons. If you still run the week from a paper diary, a shared inbox and a group chat, with consent forms on a clipboard and aftercare on a printed card, Kaolin brings it all into one place, and your clients can book at any hour.

What it fixes

Each of these is built today.

  • Clients who don’t turn up. Take a deposit or full payment when a treatment is booked. Cancellation fees follow the policy your client agreed to and go on the card they left, and clients who keep missing appointments can be kept from booking online.
  • Reminders nobody answers. Kaolin reminds your clients by email and text, and they confirm with one tap. A client who can’t make it cancels from the reminder, and the time opens up for someone else.
  • Double bookings. Your calendar won’t put a therapist in two places at once, and it reads their busy times from Google Calendar or Outlook.
  • Paper forms. Intake and consultation forms, consent included, go to your client after they book, so booking stays quick and the answers are ready on the day.
  • Patch tests. A treatment that needs one can’t be booked online until your client has passed a patch test and it has had time to show a reaction.
  • Aftercare on a printed card. Aftercare instructions go to your client after the treatment, and you keep a record that they did.
  • Starting from scratch each visit. Notes and before-and-after photos from every visit, so each appointment starts where the last one finished.
  • Switching over. Bring your clients and bookings across from Fresha, Timely, Phorest, Mindbody and seven other systems, or a spreadsheet. We’ll move them for you.
  • No website, or one that can’t take bookings. Kaolin builds you a website with booking built in.

It also sells gift cards and packages, and takes payment online or at the counter.

What it looks like

Kaolin’s booking page for Sublime Salon, a made-up business, at the first of three steps: treatment, date and time, and confirm. It offers a returning client their last treatment again, then lists massages with their length and price.

How it came together

In the works since . Kaolin runs on a booking platform made to carry one product for each trade, each with its own name, words and starter menu. Kaolin is the first.

  • March 2026. Bookings, payments, cancellation and no-show policies, and intake forms.
  • May 2026. The booking widget, the website builder, and the groundwork for separate products.
  • July and August 2026. Cards kept on file for fees, and aftercare.
  • September 2026. Patch tests and gift cards. Kaolin becomes a product of its own, with its own look, treatment menu and wording.

More than 18,000 automated tests check the rules Kaolin runs on, from a single calculation to a browser booking a treatment from start to finish.
